1. To work as a support for the team providing all aspects of the administrative support to all of the team of finance & administration.


2. Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution


3. Open, sort, and distribute incoming correspondence, including faxes and email.


4. File and retrieve corporate documents, records, and reports


5. Greet visitors and determine whether they should be given access to specific individuals.


6. Prepare responses to correspondence containing routine inquiries


7. Conduct research, assemble and analyze data to prepare reports and documents


8. Manage and maintain executives schedules, appointments and travel arrangements.


9. Arrange and coordinate meetings and events


10. To use word processing/database/spreadsheet software to provide documents as required and provide management information including reports


11. To record, transcribe and distribute minutes of meetings.


12. Resolves administrative problems by coordinating preparation of reports, analyzing data,


and identifying solutions.


13. Answer and manage incoming calls


14. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.


15. Provides information by answering questions and requests.


16. To maintain records through data entry, filling and completion of documentations in order to ensure accurate information is retained.


17. Completes operational requirements by scheduling and assigning administrative projects; expediting work results.


18. Review operating practices and implement improvements where necessary
